Windows Backup

Installation

The Click2Backup Client is supported on multiple operating systems. Windows (Minimum Versions)
  • Windows Desktop XP

  • In order for the Click2Backup software to run you must be logged in to the operating system. If you use Linux you can access the Briefcase of a Pro Suite or Business Standard account via FTP, SFTP, and/or WebDAV. All platforms allow access to your account via the Web Portal, through your internet browser.
    Click2Backup requirements for Windows and Mac are as follows: Windows

    Step 1. Execute .exe file Step 2. Enter your account credentials to start the Setup Wizard   Step 3. Verify account Step 4. Select folders to backup Step 5. Configure Click2Backup  After the completion of the installation, a tray icon named “Click2Backup icon with menu settings is added on your toolbar located near the date and time. When logged out you can right-click on the tray icon, and this will bring up the tray menu. If you are already logged in, the tray menu will appear differently and provide you with more options.
    Login
    When you open the client after logging out, the login box appears. Once you have logged in you will be taken to the Dashboard within the Control Center.
    You can make sure you have the latest version of the software by either opening the Click2Backup Control Panel, choosing the Updates tab and clicking on the Check for Updates button or by downloading the versions from your web portal..

    Configuration

    Manage Backups allows you to do three specific actions; view which folders are currently being backed up, add any new folders that you would like to back up, and view/change the backup schedule.
    2.1.1. Folders Tab
    Learn how to select your documents, music, videos and pictures folders for backup. When you install Click2Backup on a computer you are taken through the set up process. The setup of Backup occurs after the installation is complete – once installed, you are required to select your files & folders for backup. Once Click2Backup is installed, click on the Click2Backup icon on your toolbar located near the date and time. Click on Manage Backups. Click on the choices on the top box to expand or if you want files from a different location, click on C:/. Manage Backups allows you to add or remove any folders on your computer by simply clicking the checkbox next to the folder name to select or deselect the folder in question while using the add another folder button, allows you to add new folders. You can expand folders and select the data folders you wish to backup Click OK If you decide to remove a folder from the backup De-select the checkbox of the folder you want to remove from the Backup set. Click OK If a folder has been renamed since the last time you accessed the client, you have to check again in order to include it to the Backup set. NAS drives cannot be added to scheduled backups unless you have purchased an add-on for these drives. If you try to perform this action an error box will inform you that you need to get the necessary subscription for it. Click2Backup only stores data folders (documents, music, videos, and pictures). It does not backup entire hard drives, system files or folders, applications, etc.
    2.1.2. Settings tab
    Schedule Backup This option allows you to manage the frequency of backups. You can set a backup interval period along with the time of day this backup should occur. Once your initial backup is complete, you can set your Click2Backup software to run scheduled scans of your files and folders to check for any changes made to the file. Click2Backup will upload modified files during the scan and save the file as another version. The scheduled scan can be set to backup once every hour (up to once every 48 hours), between certain times or real time. To configure your Click2Backup schedule scans:

    Click on the Click2Backup icon Select Manage Backups Click on the Settings tab Choose your schedule scan settings – Real time or Scheduled backup Selecting real time scans requires the application to be closed before the scan can occur. For example, if you are working on a Word document, Click2Backup won't be able to back it up until you have saved and closed the file.

    Real time scan: .PST – If you wish to backup your Outlook .pst file with real time scan, Click2Backup won't be able to backup the .PST file until you close Outlook, and if Click2Backup is backing up your .PST file then Outlook will not be able to open at the same time.

    Click2Backup is not a service but an application, therefore it requires you to be logged in during the transfer or scanning of files.
    Backup Exceptions

    Backup Exceptions allow you to choose which file types or folders you do not want backed up on Click2Backup. From here you can either select specific file types such as '.exe' and '.iso', or specific folders. By clicking on "View system exclusions" you can see a list of file types that should not be backed up. These include temporary, system and browser files. These files do not contain any useful information – excluding them means you only back up the things that matter to you.


    The excluded files and folders are listed below. Please note this list cannot be changed.

    You can check the status of your files through the status window on your Click2Backup software. To check the status of data:
    1. Click on the Click2Backup icon, and then click on Status
    2. Click on the Detailed Status button

    The Upload queue represents the number of files currently queued or being uploaded to our data servers.

    The Download queue represents the number of files that Click2Backup is currently downloading from the data center to your local computer cache. If you don’t want to store files locally, you can change the settings in the Click2Backup Control Panel, go to the Online Files tab and choose "Just store files online…".
    The Click2Backup Control Panel is used for the configuration of the Click2Backup Backup and Briefcase settings. The panel can be found within your Click2Backup desktop software.

    Integrity Check
    Integrity Check allows you to run a health check on your computer. This checks to make sure your files and folders are correctly synced to the cloud. When you run an Integrity Check the client will compare the files on your system to those on the cloud to ensure they are synced correctly. Once this is complete, Click2Backup will update any files that are not protected in the background.
     Proxy
    The Proxy setting allows you to access Click2Backup through a web proxy. You can configure your proxy either through a SOCKS protocol or a Web Proxy. If you choose Web Proxy, the SOCKS server field changes to an IP Address text field.
    2.3.3. Bandwidth Tab
    You can also configure the amount of bandwidth the client uses for uploading and downloading files to and from the cloud.
    2.3.4. Security Tab
    Security Settings provide two features; the option of encrypting the contents of your Briefcase and the option of having the client prompt you for a password each time you attempt to start up the client However, if the Briefcase is disabled, Security Settings will only allow you to change whether you require a password prompt upon login. By default, it is set to not ask for a password and to launch automatically so that whenever your computer starts the program will run in the background and keep your files secure.
    Priorities For Briefcase, to be able to change which files type to upload or download first
    Bandwidth Limit how much Bandwidth is used during uploads or downloads
    Backup Exclusions Prevent specific file types or folders from being uploaded to the Backup set
    LAN Transfers For use in a LAN environment, allows quicker transfers between computers connected on LAN
    Proxy For use when a Proxy is used, enter your Proxy settings to allow Click2Backup to talk out??
    System Status Click to view the status of Click2Backup servers and any news about possible issues
    Briefcase Files Ability to control how files are downloaded from our servers and how they are then stored on your computer
    Integrity Check The integrity check will cross-reference all data on the local machine with data on our servers under your account
    Turn Briefcase Off Allows you to turn off the Briefcase and only use Backup if required
     The Restore function allows the user to select which files they would like to restore. Step 1. Click on the Click2Backup icon and select Restore Backups The user will be directed to the Click2Backup Restore screen that lists all the different devices that have been backed up on the cloud with the most recent ones at the top. Step 2. By double-clicking on a device they can view the files and folders that have been backed up from this device. Within the restore client, navigate to the files/folders you wish to restore and click the Restore button. Step 3. Restore to the original location if you are restoring to the same computer OR browse for a new destination folder. If you choose to restore a file that has previously been backed up, you will be presented with the option to restore previous iterations of this to either the original folder or an alternative one. If there are no previous versions of this file you will only be presented with the option of restoring the single version that is backed up. Step 4. Click the Restore button. If the same file exists in the destination folder, before the restoration is complete, you are presented with the option to overwrite the existing file. Upon completion of a restoration process you will be provided with information on the status of the restoration. The restoration is completed with the following confirmation message: In case of a failed restoration, you are provided with the option to view a restore report.

    If the user chooses to restore a folder where the original location exists on their system, they will be presented with the option of either restoring the folder to the original folder location or choosing a new folder to restore it to.

    If the file that is to be restored already exists, the user can choose to skip the file, keep the newest file or overwrite the existing file on their system.

    If the original location does not exist, you will only have the option of choosing a new folder to restore it to.

    Upon completion of a restoration process you will be provided with information on the status of the restoration and the option to view a restoration report.

    When a file that is selected to be backed up on your computer, is edited or amended, Click2Backup will upload the full file and save the modified file as another version.

    Click2Backup keeps up to 30 versions of a file and you can restore any of these versions at any time using the Restore client which is built-in to the desktop software!

    To view your deleted items, click on the Default View button and select Show Deleted Items.

    Once enabled, you will see, with gray lettering, the deleted files and folders.

    Follow the instructions as described above to restore your deleted files or folders.

    Windows Briefcase

    Click2Backup Briefcase is our flexible and innovative access-anywhere product, that lets you access your files wherever you go, and see the same files on all of your PCs. It works as a storage space on our servers that can be used to keep files synchronized across multiple locations, or to simply store files online without keeping a copy on your local machine.

    As it is shared between all of your computers, and accessible from anywhere online, it is a great place to put the files that you use most regularly.

    The Click2Backup DesktopSoftware can be set to keep your Briefcase files on your hard drive as well as online, and you can access them at any time through a drive on your computer. Once the software is installed you can use your Briefcase files just like any normal file on your computer. These files can be locally cached on your hard drive, as well as online, so you will be able to use them when you’re not connected to the internet.

    You can use files in your Briefcase like any normal file, but with the added benefit that if you change a file on one computer it is automatically updated on all the other computers with the same Click2Backup account. You can view, edit or add files to your Briefcase anywhere in the world from your web browser.

    Click2Backup keeps up to 30 versions of files uploaded to the servers so you can revert to a previous version if you made an incorrect change to a file and saved over the original.

    Click2Backup keeps any deleted files for 30 days to allow for recovery in the case of accidental deletion.
    The changes made to files within the Briefcase do not sync back to the original location of the file. For example, if you make a change to a file on your local hard drive, the changes will not be synced back to the same file in the Briefcase.

    Click2Backup Briefcase is our flexible and innovative access-anywhere product, that lets you access your files wherever you go, and see the same files on all of your PCs. As it is shared between all of your computers and accessible from anywhere online, it is a great place to put the files that you use most regularly.

    The Briefcase is sometimes referred to as the L drive. When using Briefcase, you can store files as local files or online files.

    Local Files: Local files are files stored on your physical computer. Briefcase has the ability to store files locally, as well as store them on our servers as online files.

    Online Files: Briefcase allows you to store files as online files. These files have a .ld extension and a reduced file size (alternative: that reduces the file size). Online files can be viewed online or by downloading the file to your computer.

    Once the software is installed, you can use your Briefcase files just like any normal file on your computer.
    You must ensure that your data has finished uploading before removing or deleting them from your computer. You can check this in your Web Portal and review the files you have uploaded.

      How to use Briefcase: Right click the file you wish to copy to Briefcase. Scroll down to the Click2Backup option. Select Copy to Briefcase. Click Next or specify a folder within your Briefcase to copy the file to by clicking Browse. Click Finish.

    FaQ

    The Click2Backup Backup product gives you the option to backup your important office documents, images, music, videos to the cloud.

    However storing every file from your computer to the cloud is not a good idea. This is because many of the files on your computer are specific to that installation, and will not work if they are placed on another machine. Adding unnecessary folders to your backup set will also increase the time it takes to upload your files to the cloud and in some cases, it will stop the files that you wish to upload from getting uploaded.


    Below we have written a list of the things you should not back up to the cloud.
    Temporary Files

    Computers contain folders which store temporary files. These files could be from websites, programs, unsaved office documents etc. The contents of the temporary folder on your computer will constantly modify, with many files being created, updated, and deleted. The problem with backing up this folder is that it will be scanned by Click2Backup, and will mark many files for uploading/updating on each scan. This will greatly increase the total time it takes for you to upload your files to the cloud and the temporary files are essentially inconsequential.


    Windows and Mac files

    Each Operating System contains their own set of essential system files and folders. As with the temp folder, many items in the operating system folder will also change and be uploaded frequently. To reduce the time it takes to upload content we would suggest not backing up OS files.


    Backups using 3rd Party Applications

    For example, Mac users have the ability to back up their entire hard drive using Time Machine. However due to the content being backed up using such system files, Click2Backup does not support the backup or storage of other 3rd party backups as they may contain system folders and files.


    Program Files

    When the software is installed, files are placed in other areas of the computer and some other system files are edited. We suggest that you do not back up program folders and instead back up the install files or folders.


    Do make sure the following files on Windows are not backed up:
    1. Windows
    2. "C:/Windows" folder
    3. "C:/Program Files” or "C:/Program Files (x86)”
    4. "C:/Users” or "C:/Documents and Settings” (you can select folders within the User accounts such as My Documents, My Videos, My Pictures, My Music, Favourites etc)
    5. "C:/Users/{username}/AppData”
    6. System settings
    7. System files
    8. "C:/Users/{username}/Ntuser.dat”
    9. Live databases (exchange, SQL, SAGE, etc) – any database that is constantly in use
    10. Your entire hard drive
    11. Backups using other 3rd party applications
    12. Websites

    Click2Backup does not have a file size limit when uploading files using your desktop software or via FTP, SFTP or Webdav.

    However there is a 2GB limit when uploading to your Briefcase via your web portal.

    Click2Backup Backup is designed to be a mirror copy of your local computer files. Click2Backup keeps an exact copy of the file(s) online, therefore files cannot be edited, deleted or uploaded online via your web portal.

    You can use Click2Backup Backup with external USB HD as long as they retain the same drive letter (Windows PCs) or mount point (Mac).

    As Backup is a mirrored copy of the files/folders you select, you must ensure that the device is attached to your computer when running Click2Backup.

    If the device is disconnected whilst Click2Backup is running, then the previously uploaded files will be marked for deletion on your web portal.
    Users may, therefore, wish to instead copy their files to their Click2Backup Briefcase and then work from the Briefcase.

    Tips when backing up your external USB HD

    Ensure that you let the scan complete the process to its full extent before unplugging the device. If you unplug during a scan, then Click2Backup will start deleting your external USB files from your web portal.

    If you’re plugging in a different external HD, you need to ensure that the drive letter or mount point is not re-assigned, otherwise Click2Backup will see this as the same drive but with all the data removed and will begin deleting the data from the Backup set stored on the servers.

    Ensure that the external HD is attached when running Click2Backup. It is possible to detach the external HD once Click2Backup has stopped. You must attach the device when starting up Click2Backup.

    We do not support the backup of removable or portable media (e.g. pen drives, CDs, DVDs, flash drives, mobile devices, iPods, etc) due to the way the Operating Systems categorizes the devices.

    Whereas external HD are read by the OS as local hard drives and therefore can be backed up with the Click2Backup software.

    Most email clients store the emails in a file or folder.

    For Outlook, you will need to back up the local .PST file(s). If you know where these are, you can simply add the folder to your backup selection. You will need to ensure you are using the most recent version of the client and that it is set to scheduled, not real time, backup.


    You can only back up emails where they are stored on your computer.

    If you use Exchange then you will have an .ost file on your local machine and this file cannot be backed up using VSS. Your emails will be stored on the Exchange mail server and will need to be backed up on that machine.

    As Exchange and SQL are live databases, our VSS service used with our software is not compatible to backup these types of databases.
    We do not support backup of any live databases (Exchange, SQL, SAGE, etc).
    >We hope to rectify this in a future release.

    For now, if you wish to backup an Exchange or SQL server, we suggest exporting a static file (shadow copy of your database) to a folder, and select this folder for backup. This is a manual process and will require the static file to be copied to the folder if changes are made to the server.

    It is possible to backup NAS devices with Click2Backup Backup, Pro Suite or Business accounts.

    Home customers with Backup will need to purchase the NAS Backup feature for each network drive/NAS device they wish to backup through the Account Settings part of the web portal and then add the folders on the drive to your backup selection.


    Business customers are automatically able to add NAS devices to their Backup.
    For external USB drives please see our article on backing up external USB drives.
    You can amend your backup selection after your initial backup is complete.

     It is only possible to select folders for backup and not individual files. If you wish to add individual files for backup, please add the files to a folder or select the root folder.

    Only select data folders (documents, videos, music, etc). Do not select your entire hard drive for backup.

    To add a folder to the backup selection:
    Method 1
    1. Click on the Click2Backup icon
    2. Select Manage Backups
    3. Expand your C:/ and your Users folder
    4. Find your username
    5. Select the folders you wish to add to backup
    6. Click OK
    Method 2
    1. Right click on the folder
    2. Select Click2Backup
    3. Then click "Backup with Click2Backup Backup"

    To review or modify the list of folders for backup, simply click on Manage Backups. Any files removed from your backup selection will be marked as deleted online, and will remain online for 30 days before being permanently removed from our servers.

    Mapping your NAS device
    You must ensure that the device is mapped as a letter drive. To map your NAS:
    1. Open an Explorer Window.
    2. Click Map network drive (For Windows 8 users – expand the ribbon in the top right corner near the "x" button or press CTRL + F1, and then click on Map network drive).
    3. Select a letter and browse to the NAS device.
    4. Click Finish

    With Click2Backup, you can retrieve your cloud data and stop Click2Backup from connecting to that computer.


    Simply follow these steps: Step1:  Stop the Connection – Change your password.
    1. Login into your web portal.
    2. Click on the Account Settings tab.
    3. Select Your Details.
    4. Enter your old password.
    5. Enter your new password and confirm.
    6. Click Update Details to reset.
    Step 2:  Remove the computer.
    1. Login to your web portal.
    2. Click on Account Settings and select Computers.
    3. Click Remove on the computer you wish for Click2Backup to stop connecting to and click OK on the pop-up window that will appear.
    Both of the above will stop Click2Backup from connecting with your computer Step 3: Restore Files.
    1. Click on Account Settings and select Software Download, then click on Restore Client.
    2. Once installed and the installation process is complete, use the restore client to restore your files.

    Alternatively, you can download individual files from your web portal.
    You can amend your backup selection after your initial backup is complete.
     It is only possible to deselect folders for backup and not individual files. If you wish to stop individual files for backup, you may need to create a folder and place the files within or deselect the entire root folder. To stop a folder from being backed up:
    Method 1
    1. Click on the Click2Backup icon
    2. Select Manage Backups
    3. Expand your C:/and your Users folder
    4. Find your username
    5. Deselect the folders you wish to stop from backup
    6. Click OK

    Click2Backup will now mark the folder and its content for deletion in your web portal.

     To review or modify the list of folders you backup, simply click Click2Backup Manage Backups.
    Any files removed from your backup selection will be marked as deleted online, and will be held for for 30 days before being permanently removed from our servers.
    When transferring data, the status window may show the following terminology:
    Re-queuing files

    If a file cannot be uploaded for any particular reason, the file gets re-queued and will be re-attempted when Click2Backup reaches the end of the upload queue. It is recommended to set the backup to scheduled rather than realtime – if you have the realtime scan set, every time a file is changed, it is re-queued to be uploaded, and in effect won't be able to ever be completed because it is always being changed.

    Aborting files

    If the file has already been uploaded because it exists in another folder, it doesn't need to be uploaded again. You may have since unticked a folder to be backed up, you may have moved a folder that was previously selected to be backed up, or the particular file exists within another folder that has already been backed up.

    Deleting files

    If you have recently reinstalled Click2Backup, then a new backup set has been created on our servers for your computer. This means that the software will scan through all the files and folders you selected to be backed up, and create file and folder place holders, ready to be populated with the file data.

    When the software attempts to re-upload files that already exist on our servers, this is detected by our de – duplication technology – and instead of uploading the files from your computer, it copies the files already backed up, and "deletes" the newly-made file place holders.

    If you recently unselected a Parent folder and selected the sub-folders individually to be backed up, then Click2Backup will need to reconfigure the way it stores the files in your Backup.

    You may see a lot of files being deleted in your Detailed Status, however this is where Click2Backup is simply removing the old file place holders, and recreating them according to the new backup selections you have made.

    Click2Backup can't simply "move" the file place holders – it needs to first delete, then recreate the files in the new folder, and due to the de-duplication, all the files won't need to be re-uploaded from your computer, so it's a quick process.

    Click2Backup gives each file a hash which is essentially its own fingerprint.

    When you select a file or folder to back up, the software searches for files which have the same fingerprint or hash, and if it already exists on our servers, it will copy the file instead of getting the Click2Backup software to upload the file again.

    Even after you have deleted files and folders, they remain on our servers for 30 days, and only after this time are they permanently removed. Using this technology (de-duplication), we prevent customers from having to upload entire files and folders they may have previously uploaded to our servers.

    The properties of Click2Backup Briefcase always mirror the local drive used as the cache, so you know how much space you have available for storing files locally.

    You can see the actual space allowed for your briefcase in the Account Settings section of the web portal. From here you can see the amount of used space and the total amount of free space.

    If your hard drive space is limited or running out, it is recommended to select Just store my files online which will store files copied to your Click2Backup Briefcase automatically. This will stop new files added by other machines being downloaded to your computer.

    You can also manually choose which files to store on your computer from within your desktop Briefcase.


    To clear the cache on your computer, go to your Briefcase and select all the files, then:
    1. Right click the selection.
    2. Go to the Click2Backup option.
    3. Select Do not keep a copy on my computer.
    Any files in the Briefcase that have been fully uploaded will be reduced to 0 or 1KB in size with grey icons; these will link to the actual file which is kept online only. To view these files you must download them on an "as needed" basis.

     Ιf you drag and drop or copy & paste files to the Briefcase using your OS, the files are automatically added to the local cache on your hard drive, regardless of your settings.

    The grey .ld files are files that are stored online-only and can be downloaded to your computer when required in order to save local hard disk space.
    To use all your storage space without using up your local hard drive, convert all your files into online files.
    Customers who wish to use Click2Backup Briefcase to store their Lightroom catalog receive the following error:

    "Lightroom cannot launch with this catalog. It is either on a network volume or on a volume on which Lightroom cannot save changes."

    Currently Adobe themselves do not recommend using any network device to store your Adobe Lightroom catalog.
    Due to this, it is not possible to store your catalog using Click2Backup briefcase.

    With Click2Backup, you can retrieve your cloud data and stop Click2Backup from connecting to that computer.
    Simply follow these steps:
    Step 1: Stop Connection – Change your password
    1. Login into your web portal.
    2. Click on the Account Settings tab.
    3. Select Your Details.
    4. Enter your old password.
    5. Enter your new password and confirm.
    6. Click Update Details to reset.
    Step 2: Remove the computer
    1. Login to your web portal.
    2. Click on Account Settings and select Computers.
    3. Click Remove on the computer you wish for Click2Backup to stop having a connection to and click OK on the pop-up window.
    Both of the above will stop Click2Backup from connecting with your computer. Step 3: Restore Files
    1. Click on the Briefcase tab
    2. Select the file(s)
    3. Right click the icon and select Download.

    Alternatively, you can install Click2Backup onto a new computer, and all files within the Briefcase will be downloaded there.
